The parts of a cloud phone system, in the order they matter.
A virtual number is the front door — a mobile, landline-style or 1800 toll-free number that is not tied to a physical line. Toll-free numbers are allocated through licensed operators and rented monthly, with call charges on top.
The IVR decides what happens next: language choice, department menu, business-hours and holiday routing, queueing, and a voicemail-to-email fallback so an after-hours enquiry still reaches somebody. Keep it to two levels — every extra layer loses callers.
Then comes the part most businesses skip: integration and measurement. Calls logged against CRM records, recordings attached to the ticket, missed-call alerts to a supervisor, and unique numbers per campaign so you can attribute leads. Also note that recordings are personal data — consent, retention and access controls are part of doing this properly under the DPDP Act.
